Claude for Excel, PowerPoint and Word: a practical guide
Two different ways to use Claude with Office: creating files in chat, and working inside your real workbook or deck. When to use which, with examples from reports, trackers and presentations.
There are two ways to use Claude with Office files. In the Claude chat, it creates Excel, Word, PowerPoint and PDF files from your data. With Claude for Microsoft 365, it works inside your actual workbook, deck, document or Outlook inbox. Use the first for new deliverables and the second for files you already live in.
Most professionals waste hours each week on the same Office work: rebuilding a weekly report, fixing formulas someone else wrote, turning numbers into slides. This guide shows where Claude helps, where it does not, and how to check its work.
What is the difference between the two approaches?
How does Claude help in Excel?
In Excel, the useful jobs are formulas, cleaning and models. Ask Claude to write a formula and explain it in plain English, to flag rows that break a rule, to build a pivot by contractor, or to reconcile two sheets. Inside your workbook it can add columns and logic directly. In chat, you can upload a messy export and get back a cleaned, summarised and charted file.
Example: “Add a column flagging any crew over 60 hours this week and make a pivot by contractor.”
Always check formulas on a few rows you can verify by hand, and look for hard-coded numbers where you expected references. A clean-looking workbook can still be wrong.
How does Claude help in PowerPoint?
PowerPoint is where Claude saves the most time for managers. Give it your progress data and last week’s deck, and ask for a five-slide update with an S-curve, key risks and decisions needed. Inside PowerPoint it can create and edit slides in your template; in chat, it can produce a downloadable deck, and Claude Slides can export to PowerPoint or PDF.
What about Word and Outlook?
In Word, Claude drafts method statements, SOPs, letters and reports, and revises them for tone and clarity. In Outlook, it triages the inbox and drafts replies. A good habit: ask Claude to list the commitments and deadlines in a long email thread before you reply.
Does Claude work with Power BI?
There is no dedicated Power BI add-in like the Excel one. In practice, people ask Claude to write and explain DAX measures, design the data model, and analyse exported data, or use a connector if their organisation has one. ERP systems follow the same pattern: exported data, or a connector built with MCP.
What does a weekly progress report look like with Claude?

The first week takes about as long as doing it by hand, because you are teaching Claude your format. From the second week it is usually far quicker, and the quality is more consistent.
How should you prompt Claude for Office work?
Office prompts work best when they say what the file is for, who will read it, and what format it must follow. Upload a previous good example where you can. Name the exact columns or slide titles you expect. Ask Claude to list any assumptions it made and any rows it could not interpret, so you know exactly where to look when you check.

What are the limits of Claude in Office?
Claude is excellent at structure, formulas, summaries and first drafts, and much weaker at knowing things that are not in the file. It cannot know that a supplier called you yesterday, that a number in the tracker is a known typo, or that the client hates a certain chart style, unless you tell it. Very large or heavily linked workbooks can also be slow or awkward to work with in one go; splitting the job into clear steps usually helps. Treat Claude as a fast, capable analyst who joined the team this week: brilliant with the material in front of it, dependent on you for context.
